Healthcare & pharma · Prove compliance

HCP data that files clean.

We have captured compliant HCP data at medical congresses since 2016, roughly 200 a year: booths, product theaters, symposia, educational receptions, and KOL and delegate meetings. Every record leaves the floor matched, branched, and ready to report.

Capture · four ways in

Every congress is different. The export is not.

Each show has its own badge, its own rules, and its own scanning policy. We fit the capture method to the event so the data that comes back never changes shape.

01 · Scan

Live badge scanning

RE:nvent Mobile

Staff scan attendee badges at the moment of contact, and the compliance flow opens on the same device in the same conversation.

  • Event QR setup. Devices configure themselves for the show from a single code.
  • 15-minute staff orientation. Booth staff and agency teams are scanning before doors open.
  • Works with the event's Badge API or Developer Kit where the show provides one.

02 · Photograph

Image capture with OCR

For shows without a usable badge feed

Staff photograph the badge, OCR extracts the record, and the attendee is routed straight into the compliance survey.

  • No dependency on show systems. The badge itself is the data source.
  • Same survey, same branching as a live scan, so the export stays uniform.

03 · Self-serve

Self-service QR registration

For theaters, receptions, and high-volume rooms

Attendees register on their own phones from a posted QR code, without a staffed scan line.

  • Branching built in. Only US prescribers get the full question set.
  • Completion screen for room entry. Staff at the door see a finished registration, not a promise of one.

04 · List

List import & delegate check-in

For badge-less or scan-prohibited events

KOL meetings, delegate dinners, and shows that prohibit scanning still produce the same export.

  • Lookup-style pre-reg entry. The list narrows as staff type, and the attendee confirms the match.
  • Real-time NPI lookup for walk-ins who are not on the list.
  • Event-provided scanner data ingested after the show, normalized to the same format.
  • No-show reporting against the invitation list.

Whichever method the event allows, the record structure is identical: one attendee, one prescriber status, one survey path, one row in the export.

Comply · the depth underneath

Everything a bad export forgets.

These are the layers between a badge scan and a clean filing. Each one runs during the event, not in the weeks after it.

01

Live NPI Match, at the point of scan

Every US record is matched against the NPI registry the moment it is captured. NPI number, license state, and taxonomy arrive in the export itself. There is no post-show scrub, because there is nothing left to scrub.

02

Sunshine Act TOV, through your chain of custody

Transfer-of-value is recorded for every US prescriber at sponsored meals, then routed through your transparency team to CMS. We feed your reporting chain. We never replace it.

03

Survey branching by prescriber status

US prescribers see the full question set. Everyone else sees only what applies to them, so nobody answers questions that create data you cannot use.

04

International disclosure

Disclosure support grew by 11 countries in 2025, so multinational congresses report correctly market by market.

05

GDPR & state-privacy aware

Capture flows follow GDPR and US state privacy law, so consent is collected where the attendee stands, not where the server sits.

06

Encrypted, password-protected delivery

Reports arrive encrypted and password protected, with the password sent separately. Your data is never one forwarded email away from exposure.

07

Product theater check-in

Theater check-in records meal opt-out and captures signatures, so attendance and TOV reconcile without a spreadsheet session.

08

Compliance signage support

We support the signage your regulatory team requires at the point of capture, worded and placed to their standard.

09

Travel-director training

Travel directors are trained on the capture flow before doors open, so field execution matches the policy on paper.

Cadence · Daily

Delivered while the congress is still running

Compliance data arrives daily throughout the event, so your transparency team reviews records on show days, not after everyone has flown home.

The deliverable

The export you file, not the project you clean.
